Receivables workspace for service contractors

Know what you're owed. And what's in the way.

TALVEN//QUO is accounts receivable software for contractors and B2B service businesses. It turns outstanding invoices into a short list of decisions: what needs attention, why it’s stuck, and the next step you’ve approved.

Fictional data, working interactions. Nothing is sent, charged, or synced.

01 · Why invoices stall

An unpaid invoice is rarely just late. Something is in the way.

Aging reports tell you how long. They don’t tell you why. For contractors billing commercial customers, the why is usually one of four things.

  1. 01

    A lien waiver nobody sent.

The general contractor won’t release the Phase 2 draw without it. The invoice looks merely late, but the real blocker is paperwork on your side.

TALVEN//QUO names the blocker and makes “mark documents sent” the next step.

Summit Commercial Builders INV-1047 $18,450 Payment blocked
  2. 02

A scope question about level 3.

The property manager says the floors weren’t stripped and waxed as quoted. Sending a reminder now would only add friction.

Disputes leave aging and pause every reminder until you resolve them.

Foxwell Office Park INV-1046 $5,800 Disputed
  3. 03

    A promise that quietly passed.

The business office said payment would go out by October 30. It didn’t, and nobody noticed.

Promise dates hold reminders, then surface the moment they pass.

Pinecrest Senior Living INV-1042 $9,600 Promise missed
  4. 04

A reminder you meant to send.

Twenty-four days past due, no dispute, no promise. It just needs a nudge, and you’ve been busy on job sites.

A reminder is drafted from your template and waits for your approval. Nothing goes out on its own.

A routine reminder is ready for approval

  • Last reminder never
Approve reminder Skip this time

What happensMarks a reminder as approved using your template. Nothing is sent in this demo. It leaves today’s queue and won’t be proposed again for 7 days.

  1. What needs attention

One plain-language line per invoice. The queue only shows invoices where something is waiting on you.

  2. Why it needs attention

The specific reason, taken from the invoice’s own record: days past due, last reminder, dispute notes, promises.

  3. The next permitted action

Only actions your rules allow. A disputed invoice never offers a reminder.

  4. What happens next

The consequence is spelled out before you click, so nothing is a surprise.

03 · What you’d pay for

Less time reviewing. Fewer surprises.

TALVEN//QUO can’t make customers pay faster, and we won’t claim it does. What it does is make sure nothing that’s waiting on you goes unnoticed.

  1. Outstanding invoice tracking

Every open balance split into not due, past due, and disputed. The three always add up to the total, with no double counting.

  2. Invoice aging reports

Aging in 30-day buckets and by customer, with disputed balances kept separate so the picture stays honest.

04 · Guardrails by design

Automation that asks first.

Commercial customers are relationships, not ticket numbers. Every invoice runs through the same checks before anything is proposed, and nothing reaches a customer without your approval.

  • Disputes always pause reminders. This rule can’t be turned off.
  • Every reminder needs your approval.
  • Every action is written to the invoice history.
  1. Paid? Stop. Nothing to do.
  2. Disputed? Pause every reminder. Ask the owner to resolve.
  3. Promise to pay pending? Wait until the promised date passes.
  4. Paperwork missing? Name the blocker instead of nagging.
  5. Past your limit? Stop routine reminders. The owner decides.
  6. Reminder recently handled? Wait 7 days before proposing another.
  7. Otherwise Draft a reminder from your template and wait for your approval. In this demo: nothing is ever sent

05 · Who it’s for

Built for companies that invoice other businesses.

  • Commercial cleaning

Monthly contracts, scope questions about what was or wasn’t cleaned, and property managers who pay in batches.

  • HVAC & plumbing

Emergency calls billed after the fact, PM contracts, and facility teams that need a PO before paying.

  • Property maintenance

Many small invoices across many properties, where one missed follow-up is easy to lose.

  • Subcontractors

Pay-when-paid terms, retainage, and lien waivers standing between you and a draw.

06 · What’s real today

An honest line between demo and roadmap.

This is a working product concept. Everything you can click runs on fictional records in your browser. Anything that touches real money, real customers, or real accounts waits for a separate security review and your authorization.

Working demo

What TALVEN//QUO does today, what’s planned, and what we won’t promise.

Ask something else

What is TALVEN//QUO?

TALVEN//QUO is accounts receivable software in development for small B2B service businesses. It organizes outstanding invoices into a short “Needs a decision” queue that shows what needs attention, why it’s stuck, the next step your rules allow, and what that step will do.

Who is it built for?

Contractors and service companies that invoice other businesses: commercial cleaning, HVAC and plumbing, property maintenance, and subcontractors. It is designed around owners who want to know what they’re owed and why an invoice hasn’t been paid.

How is this different from my accounting software?

Accounting software records invoices and payments. TALVEN//QUO is planned to sit alongside it and focus on follow-through: which overdue invoices need a decision, what is blocking payment (a dispute, missing paperwork, a missed promise), and which reminders are ready for your approval.

What is an invoice aging report?

An aging report groups unpaid invoices by how long they’ve been outstanding, usually not yet due, 1–30, 31–60, 61–90, and 90+ days past due. TALVEN//QUO keeps disputed invoices in their own row so every dollar is counted once and disputes don’t distort the picture.

Does it send payment reminders automatically?

No reminder is ever sent without the owner’s approval. Rules propose a reminder from your template; disputes and promised payment dates pause proposals. In the current demo, nothing is sent at all. Approved sending is planned for the commercial release.

Does it connect to QuickBooks or Xero?

Not yet. Read-only accounting connections are planned, starting with the systems early-access businesses use most. They will go live only after a security review. Today the demo runs on fictional records.

Will it get my invoices paid faster?

We don’t promise that, and no software can guarantee it. TALVEN//QUO is designed to make sure nothing that’s waiting on you goes unnoticed, and to give you a clear weekly summary of where your receivables stand.

Is TALVEN//QUO available now?

It is in development. You can use the full interactive demo with fictional data today, and request early access through the contact form.
